What to put on a contractor invoice

  • Your business details. Business name, phone, email and your GST/HST number if you're registered. Add a licence number if your trade or city requires one.
  • The client and the job site. The client's name and billing address. If the work was somewhere else, put the job site address in the notes.
  • Labour. Hours times your rate, or a flat price per task. Split labour by stage (prep, install, finishing) so it's easy to check.
  • Materials. List materials on their own lines, or as one line with receipts attached. Keeping them apart from labour heads off most billing questions.
  • Other charges. Permits, disposal, equipment rental and extra work the client asked for along the way, each on its own line.
  • Tax, total, terms and warranty. GST/HST if you're registered, the total, when it's due, how to pay, and any warranty on your work.

Tips for getting paid faster

  • Send the invoice the day you finish. Waiting a week is the easiest way to get paid a month late.
  • Keep material receipts. Attach copies or keep them ready in case the client asks.
  • When the client adds work mid-job, add it as its own line so the change is obvious.
  • Take a deposit before ordering materials, and send it as its own invoice.

After you send it

Contractor invoice questions

Should labour and materials be separate on an invoice?

Yes. Separate lines show the client exactly what they paid for, make disputes rarer, and make it easy to see your margins at tax time.

Do contractors charge GST/HST on materials?

If you're registered, GST/HST generally applies to everything you bill for the job, materials included. Provincial sales tax rules for contractors differ by province, so check the rules where you work.

How do I handle a deposit?

Send the deposit as its own invoice before the job starts. When the work is done, send a final invoice for the rest, and mention the deposit invoice number in the notes.

What if the job changes halfway through?

Agree on the change with the client first, in writing if you can. Then add it to the invoice as its own line, such as "Extra: move outlet (approved June 12)".
