This freelance invoice template is set up for hourly work: each line is a task, the quantity is hours and the price is your rate. Flat fees go on their own line. Fill it in, check the total and download the PDF. It's free and there's nothing to sign up for.

What to put on a freelance invoice

  • Your name and how to reach you. Your business name (or your own name), email and phone. Add your GST/HST number if you're registered.
  • Who you're billing. The client's business name and address. Larger clients often want a contact or purchase order number too; put it in the notes.
  • An invoice number and date. Every invoice needs its own number. This generator counts up for you, so you never send two with the same number.
  • What you did, line by line. One line per task or deliverable. For hourly work the quantity is hours and the price is your rate. Put fixed fees on separate lines so the client can see both.
  • Tax, if you charge it. If you're registered for GST/HST, show the tax as its own line with the rate. If you aren't registered, don't add tax.
  • The total, due date and how to pay. Say when payment is due (for example, 14 days) and how to pay: e-Transfer address, bank details or a payment link.

Tips for getting paid faster

  • Log time as you go and round it the same way every time. Say how you round in the notes so nobody has to ask.
  • Invoice the day you deliver, while the client is happy with the work.
  • On longer projects, bill at milestones instead of waiting until the end.
  • Ask for a deposit before starting on a new client, and invoice it separately.

After you send it

Every invoice you download is kept in My invoices, in your browser. It shows what's waiting to be paid and flags anything overdue. When a client pays, mark it paid and download a receipt for them. You can export everything to a spreadsheet any time.

Freelance invoice questions

Do freelancers have to charge GST/HST?

Only once you're registered. You must register when your taxable revenue goes over $30,000 in a single calendar quarter or over the last four quarters (the small supplier limit). Below that, registering is optional. Once registered, show the tax and your registration number on each invoice.

How do I invoice hourly work?

Put each task on its own line, enter the hours as the quantity and your hourly rate as the price. The amount is worked out for you. Round hours consistently, for example to the nearest 15 minutes, and say so on the invoice.

Should I bill hourly or per project?

Hourly suits work that's hard to scope, like ongoing support. A fixed project price suits well-defined work and rewards you for being fast. You can mix both on one invoice: hours on some lines, fixed fees on others.

What payment terms should a freelancer use?

Net 14 (due in 14 days) is common for freelancers and gets you paid sooner than Net 30. Whatever you choose, put the due date and the ways to pay on the invoice.
